IMPORTANT DATES & POLICIES

Included in your folders is the list of important dates for the session as well as a summary of the policies that all coaches are required to know and follow. You may also access that information here. Please read over these policies and dates thoroughly and reach out with any questions. Below is a summary of the action items for this upcoming week.


Send out Introductory Email to Classes

  • If you have not done so already, please send out your introductory emails this week. Scroll down to last week’s newsletter for instructions on how to email families through JackRabbit.


Start Checking the Master Binder

  • Starting this week, be sure to check the Master Binder before every class to update your attendance sheets (the office will make enrollment edits here throughout the session).

  • If someone shows up for your class and they are not on your list AND they do not have a pass for a trial, drop-in, or makeup, kindly send them to the office to check on their enrollment with the front desk. It is important that you ensure only students on your attendance sheet or with the appropriate pass are joining you.


Follow Rotations

  • Please refer to and follow the rotation schedule for your class! If you have any questions, concerns, or feedback about the rotations, please let me know. I am happy to look for solutions if something in your rotations is not working.


Thank You for Spring and Welcome to Summer!

Thank you team for your effort this Spring Session! We are heading straight into summer, so please be sure to review your schedule, show up early, look at your rotations, and announcing/meeting your class in the Grand Stands. As you meet your class, please ensure that only students on your attendance sheet or with the appropriate pass are joining you.


Please note that we are continuing to monitor enrollment, so schedules may change slightly over the next couple of weeks as we close classes with low enrollment, open up interests lists, or add other classes. I'll be reaching out if there are any changes to your schedule.


Email families this week to introduce yourself!

Before the 2nd class, you will need to email your classes to introduce yourself. There is a template email in Jackrabbit (our registration system) that you will fill out and send to families. Below are the step-by-step instructions:

  • Log into Jackrabbit

  • Click on the "Classes" tab at the top to view a list of the summer classes

  • Look for your class and click on it.

  • Click the "Email Class" option button on the top left

  • Select the "Beginning of Session Coach Email" template in the Template drop-down menu.

  • Edit the email with your information.

  • Choose riana@acrosports.org as the "reply to" email, but include YOUR email in the body of the text.

  • Include this time in your timecard under the 1600/1600 code with a note stating you emailed families via Jackrabbit.


Please Note: If you co-coach a class, only one coach needs to email families, but please introduce each coach in the message.

Last Week of Spring Session!

This is the last week of the Spring Session! It's Fun Week for PreK, so please take a look at the bulletin board for any special rotations. 


The last day of class can bring extra excitement (especially with many students simultaneously beginning their summer break). If you are incorporating games into your lesson plans, please have them be curriculum focused (the last day is should not be all free play).

Summer Session & Youth SchedulesSummer Session is starting on 6/10! I'll be reviewing our summer enrollment this coming week. Please note that there might be some changes to your schedule, as we close classes with low enrollment, open up interests lists, or add other classes. I'll be reaching out if there are any changes to your schedule.


To keep a class open, we need 3+ students enrolled within the first two weeks of the session. As we go into the last week of class, please remind your students it's the last day and to take a look at our summer schedule!

It's Shel Silverstein week to promote CircusLab's performance! Be sure to pick up your shirt from the office each day you work. You will find poems in your folder to read to your class, circle time is a great time for this.

Summer Session ‘19

Open Registration for the Summer Session begins on Monday, 5/20! Summer schedules for the Youth Program are in WIW, so please start getting familiar with your shifts. If you are interested in additional hours, we have some weekend classes that need a coach!

Support the Upcoming CircusLab Show!

CircusLab’s year-end show is coming up on June 1st! Please get your students excited about the show and about CircusLab by talking about it in your youth classes. CircusLab is our youth performance ensemble made up of our highest level students (most of them have grown up at AcroSports!). Their show will be a great way for students to see what they can accomplish at AcroSports and to get excited about the upcoming CircusLab auditions!

MOVE UPS ARE DUE!

Please send the names of any students that are ready to move up to the next level by Monday, 5/13. I will contact the families with students who have been approved to advance to the next level (based on the names you send me) so they can be prepared with this info before registration begins next week.

SCHEDULES TO BE POSTED IN WIW

I will be adding your sample youth schedule in WIW for the first week of the session (6/10-6/16). Please confirm your schedule or let me know if there are any issues BEFORE Thurday, 5/16. Registration opens up early Monday morning, so any issues need to be fixed before registration starts.

5/6/2019

It’s the 2nd Check-Off Week

As you finish up your evaluations, please send the names of any students that have been approved to move up along with their approved level to riana@acrosports.org. I will be notifying families on Tuesday, 5/14, if their child has been approved for the next level, so I need your move-ups by Monday, 5/13, at the latest!

Please keep in mind that students typically spend at least 3 sessions in the same level in order to develop all of the necessary skills with proper technique. There should be no pressure to move up any student pre-maturely, and having students remain in their currently level often leads to a better class experience than being moved up too soon.

Lastly, please hold off giving students their skill sheets until the end of the session. It’s helpful for us to reference the check-offs whenever parents are asking why their students is not yet going on to the next level.

[REMINDER] Check Attendance & Collect Passes!

Taking attendance every class is required! As you take attendance, you are responsible for ensuring that only the proper students are joining your class. If a student is not on your roll sheet or in the Master Binder, they need to bring you a pass indicating that they are taking your class. If they are not on your list or don’t have a pass, send them to the front desk to get this sorted out! DO NOT allow them to join your class until it is determined they are in the right spot.

Summer Session Availability Past Due!

If you did not complete your Summer Availability Form before the deadline, now is the last chance to get it turned in to be scheduled for the Summer Session. Please submit it ASAP, as we are now putting together our summer schedules.


It’s a Check-Off Week!

This week and next week are check-off weeks! Feel free to use your judgement on whether or not you will need to use both check off days or just evaluate students during this one week. This may vary class to class and discipline to discipline (i.e some gymnastics classes may need both weeks in order to hit every apparatus).


Skill sheets for each student will be added to your folders (please let our front office know if you need more). A couple of things to note about the skills check-off and move-up process:

  • Pay special attention to the proper technique required for each skill. Demonstrating the correct technique and form is a necessary part of skill building and is required to go on to the subsequent level.

  • Students should be successfully performing ALL of the skills in the curriculum in order to move up.

  • Move Ups will be due by 5/13! I will contact the families with students who have been approved to advance to the next level (based on the names you send me) so they can be prepared with this info before Open Registration on 5/20.

  • Lastly, please remember to provide students with their skill sheets at the end of the session!

Welcome to the Spring Session!


It's the start of a new session! Please help us make this busy week go as smoothly as possible by reviewing your schedule, showing up early, looking at your rotations, and announcing/meeting your class in the Grand Stands. Please note that we will not be holding a Youth Arts Showcase this session. While we typically host the showcase in the Fall and Spring Sessions, we will not have one this particular spring.

Safety, Respect, & Fun!

Three of our rules at AcroSports are be safe, be respectful, and have fun! While it is great to remind students of these rules this first week, please make sure that you as a coach are also following these principles. Safety is our absolute priority, so it is imperative that you are ensuring the safety of your classes by checking equipment/surroundings before use, using mats and equipment properly, and keeping an eye on your class at all times (when coaching, position yourself so that you are able to see your class as a whole and NEVER have your back to the class).

Respect should be mutual between you and your students! Being involved in sports is a great way for students to learn how to give respect to their coach, peers, and themselves, but this is also a place for students to feel that they are respected (especially by their coach!). Be a model of respect for your students by listening to their concerns, working with them to build cooperation and problem-solve, and apologize whenever you make a mistake.

Lastly, have fun! Strive to come to each class excited and ready to work with your students, and bring a positive attitude. Be mentally and physically present during class; the energy you bring each day is a big contributor to the quality of your classes!

Videos for AcroArts Curriculum

As previously mentioned, we have revamped our AcroArts curriculum! Mick and Jesper have put together skill videos demonstrating each skill in the new curriculum. You can access those videos for easy reference here. (Please note: if you do not have an AcroSports email, you may need to be granted access. Click the link to request access, and I will be able to grant you permission to see the videos folder).


Coaches, thank you for a wonderful Winter Session!


As a reminder, there are no Youth or PreK classes 3/25-3/31. Adult classes will run as usual during the intercession.

The Spring Session starts 4/1, so be sure to review your schedule in preparation for this upcoming session. Otherwise, enjoy the intercession, and let's come back rejuvenated and ready to rock spring!


It's the last week of the Winter Session!

Please be sure to check the board for any Special Rotations, as PreK will be having their Fun Week. Also, please remember to pass out skill sheets if you have not done so already.


With the last classes this week, feel free to include some games or challenges while still emphasizing the curriculum for your class. There is usually some extra excitement around the final class of a session, so try to keep this excitement centered around the skills your class has been working on all session. 


Lastly, please talk to your students about the upcoming Age of Rock Cabaret! This is a fun opportunity for students to see a performance at AcroSports and get an idea of what they could achieve with their practice!


Intercession: 3/25-3/31

There are no Youth and PreK classes 3/25-3/31. Enjoy this extra time before the Spring Session begins!

Winter Session is Wrapping Up!

There are only 2 weeks left in the Winter Session! Although this session is coming to a close and we are gearing up for spring, please continue to work hard and bring focus to your classes.


Spring Schedules were posted in WIW early last week, so please review the week of 4/1-4/7 to get an idea of your schedule. Registration for spring classes begins Monday, 3/4, at 9:00am!


As a reminder, there will be no youth classes during our intercession 3/25-3/31.


I will be out of town 3/15-3/19.

Introducing our New AcroArts Curriculum! 

Our AcroArts curriculum has been renovated as we try to cultivate this unique discipline! AcroArts is a multi-disciplinary class that incorporates gymnastics, circus, parkour, tumbling and clowning. This discipline has generally served as students’ introduction to AcroSports, as it allows them to experience a bit of everything we have to offer, but we are also growing it into a unique specialty where students can continue their development! The updated curriculum offers more specific skill goals/requirements and allows for more progressive development as students move up.

 

The new curriculum will be printed out for AcroArts coaches, and videos demonstrating each skill will be available soon!

January 7th, 2018

Monday and Tuesday classes have their first class of the session this week! Please continue to review your schedule, show up early, and announce/meet your class in the Grand Stands.


Attendance this past week was pretty light, so a lot of students will have their first class this coming week. It may be helpful to re-review safety and class rules with new students.


Below are a couple of important action items:


(1) Begin Checking the Master Binder

Youth Arts Showcase

YAS sign ups are final! Please begin practicing your acts this week. For many classes, it may not be possible to practice the entire act at this point. In this case, it is appropriate to practice the elements in the routine separately and to communicate to students what pieces will be included in the performance.

 

If you are interested in working the Youth Arts Showcase on 12/15 please let me know! The call time for families is 3PM, and the show will start at 4PM.

REMINDER: The new sign up deadline for YAS is 11/10! Please remind your students of this performance opportunity in your classes the next couple weeks.

 

We will begin practicing showcase acts the week of 11/12-11/18 (gymnastics classes can start 11/5-11/11, as check offs are the following week). I will be sending out the details of the acts for each class in the near future.

HELP! Sunday Youth Classes

We are still looking for someone to take over the following Sunday youth classes this session:

  • 10:30-11:25am Beg A Girls Gym

  • 11:30-12:30pm Intro to AcroSports

The goal is to have a permanent coach, but we are also interested in frequent subs! Please let me know if there are any Sundays this session you are available to take these classes!

Next week, we will be sending out our Winter Availability Form, so start thinking about your potentially availability for next session! Winter 2019 session runs 1/2 - 3/24, and the form will be due by 11/16.

It’s the Fall Session and that means we will be hosting our Youth Arts Showcase! YAS gives participating students the opportunity to perform their skills in front of AcroSports’ families and friends. Please get your students excited about the showcase by talking about this performance opportunity to your classes. The showcase will take place on December 15th, and the deadline for students to register is October 15th!

Because the acts are based on the curriculum for each class, the majority of the session is still focused on skill building. We will begin practicing acts during classes in early November, and more information about each act will be provided in the coming weeks.

EMAILING FAMILIES

If you have not already done so, please email your classes to introduce yourself. This should be done BEFORE the 2nd class! There is a template email in Jackrabbit (our registration system) that you will fill out and send to families. Below are the step-by-step instructions:

  • Log into Jackrabbit

  • Click on the "Classes" tab at the top to view a list of the summer classes

  • Look for your class and click on it.

  • Click the "Email Class" option button on the top left

  • Select the "Beginning of Session Coach Email" template in the Template drop-down menu.

  • Edit the email with your information.

  • Choose riana@acrosports.org as the "reply to" email, but include YOUR email in the body of the text.

  • Include this time in your timecard under the 1600/1600 code with a note stating you emailed families via Jackrabbit.

 

Please Note: If you co-coach a class, only one coach needs to email families, but please introduce each coach in the message.

 

TAKING ATTENDANCE

Take attendance at every class! It is very important that you are accurately and consistently taking attendance, as AcroSports needs these records for safety and legal reasons.

Attendance sheets live in your folders/binders, so please make sure you return your folder/binder back to the shelf before you leave the gym. While we are always happy to print you out a new attendance sheet when needed, your old sheets contain important records for student attendance that we need.

 

CHECKING THE MASTER BINDER

Beginning next week, please make sure to check the Master Binder before class to update your attendance sheets. The front office will continue to make enrollment edits in the Master Binder throughout the session, so please remember to check this binder at the start of every shift. It is located under the rotations schedule on the main floor.

If someone shows up for your class and they are not on your list AND do not have a pass, kindly send them to the office to check on their enrollment with the front desk.

Please take note of "Trial" students on your list. These students are trying out the program to determine if they want to enroll in that class. Please remind them that they need to confirm their enrollment with the office by the end of the day.

You may need to remove some students and add others on your attendance lists. It is super important that we get your help with this as the office relies on you as part of the system for guaranteeing that folks are enrolled in the right spaces!

 

FOLLOWING ROTATIONS

Timesheets must be completed by the end of the day on 7/2! PLEASE help your managers out by ensuring your hours for the pay period (6/19 - 7/2) are in Paylocity. With the holiday this week, it will be difficult to make any last minute additions to your time card, and any corrections will have to wait until the following pay period!

This is the last week of the Spring Session!

Thank you so much for all of your hard work during this very exciting session! Please note that there are final rotations for this final week, so take a look at the rotation schedule.

 

For the end of the session, we want our students to share something they are proud of that they worked on this Spring! There will be sheets of butcher paper posted around the gym for students to write on, so please encourage your class to participate by writing something they are proud of from this session.

CELEBRATION WEEK!

May 14th-20th

AcroSports's 25th Anniversary Celebration Week is NEXT WEEK! We will be having special events all week but no regular classes. Please encourage your students to sign up for an event during the Celebration Week! Participation in an event was already included in the spring tuition, we just need students to register for the activity that they want to participate in. Handouts highlighting the events for Youth students are available next to the rotations; please pass these out to your classes.


Youth Arts Showcase -- Continue Practicing!

Our YAS sign-ups are just about finalized! Please continue rehearsing with your students so they feel confident for their showcase. Act details for each class can be found in this manual. PLEASE NOTE: If you do not have an AcroSports email, you will need to request access to view this document.

 

For classes that are creating their own acts, I will be reaching out soon to get your music selection and mat needs for the show.

 

Please send me the list of move-up students and your summer availability by May 6th!

MOVE UPS: Please email me (riana@acrosports.org) the names of students who are ready to move up and the level that they will be moving to. A few reminders:

  • Students should be successfully performing all of the skills in the curriculum in order to go on to the next level.

  • Be mindful of how you communicate to parents and students (please speak with families individually, rather than to your class as a whole).

  • I will be directly reaching out to the families with students that were approved to advance to the next level based on the names you send me.

SUMMER AVAILABILITY: It's time to start getting summer schedules ready! Please let me know your availability using this form for the summer session by May 6th. The summer session runs June 11th through August 19th.

 

Email Policy Reminders:

Reading and responding to emails is a requirement for all staff, AND you get paid for this time! You are able to clock up to 15 minutes per week for time spent on AcroSports-related emails; simply add your time to the end of a regularly scheduled shift with a note clarifying what that time was for.

 

If communication with families is taking more than 15 minutes, please let me know. I am happy to take on some of those parent conversations.

 

Please remember that this policy does NOT apply to correspondence with private lesson parents/students -- the higher rate for private lessons should accommodate for time spent communicating and planning for the lessons.


It's Time to Practice for the Youth Arts Showcase!

 

Hi Team! Thank you so much for encouraging your students to participate in the Youth Arts Showcase on May 20th. We extended the sign-up deadline, so we will be getting the final student counts and showcase schedule up soon.

Please begin practicing your acts this week! You can find the details for the acts that each class will be performing here. Some acts are still being added to this document, so please keep referring to this resource as it gets updated this week. If you are in a class whose act has not been posted, this week would be a good time to focus on skill sequences and combinations to help students get comfortable with connecting their elements together. 

For many classes, it may not be possible to practice the entire act at this point. In this case, it is appropriate to practice the elements in the routine separately and to communicate to students what pieces will be included in the performance. We have the rehearsal on 5/19 that will provide the opportunity for students to run through their entire pieces before the showcase.

Lastly, while practicing for the showcase is important to make for a quality performance, we want to strike an appropriate balance between act preparation and skill-building. Please continue to focus on building the individual skills in the class curriculum. The showcase is meant to highlight the skills students are working on, so the skills are the foundation for the acts that have been created!

It's a Check-Off Week!

This will be the only official check-off week for gymnastics and aerial classes this session. However, feel free to continue reviewing students and marking on their skill sheets throughout the session. As a heads up, move-ups will be due by 5/6.

With regards to move-ups, please be mindful of how you communicate with parents and students. Before summer registration opens, I will be reaching out directly to the families with students who have been approved to advance to the next level (based on the names you send me). You are welcome to answer questions parents may have about their student's progress and level placement, but speak with the families individually; do not have these conversations with the whole class. A couple of other things to note:

  1. Students should be successfully performing ALL of the skills in the curriculum in order to move up.

  2. Advancing into the next level is contingent upon students participating in the next session. For example, if a Level 1 gymnast is approved for Level 2 but will be out the entire summer, they will not automatically be allowed to participate in Level 2 in the Fall Session. -- This is something that I will communicate to parents, I just wanted you to be aware.

Lastly, please remember to provide students with their skill sheets at the end of the session!

Hi Coaches!

 

Thank you for a strong start to the Spring Session!

As a reminder, we will be hosting the Youth Arts Showcase for students to perform their skills in front of an audience on May 20th. Please get your students excited about the showcase by talking about this opportunity in class this week! The deadline for students to sign up to participate is 4/15, so we need your help generating enthusiasm about the performance.

We will begin practicing acts during class the week of 4/23-4/29. More info coming soon!

Below is some important information including action items and policies that all coaches are required to know and follow!

 

EMAILING FAMILIES

Coaches need to email your classes to introduce yourself. Please do so by 4/13. There is a template email in Jackrabbit (our registration system) that you will fill out and send to families. Below are the step-by-step instructions:

  1. Log into Jackrabbit

  2. Click on the "Classes" tab at the top to find your class and click on it.

  3. Click the "Email Class" option button on the top left

  4. Select the "Beginning of Session Coach Email" template in the Template drop-down menu.

  5. Edit the email with your information.

  6. Choose riana@acrosports.org as the "reply to" email, but include YOUR email in the body of the text.

  7. Include this time in your timecard under the 1600/1600 code with a note stating you emailed families via Jackrabbit.

Please Note: If you co-coach a class, only one coach needs to email families, but please introduce each coach in the message.

 

TAKING ATTENDANCE

Take attendance at every class! It is very important that you are accurately and consistently taking attendance, as AcroSports needs these records for safety and legal reasons. 

Attendance sheets live in your folders/binders, so please make sure you return your folder/binder back to the shelf before you leave the gym. While we are always happy to print you out a new attendance sheet when needed, your old sheets contain important records for student attendance that we need.

 

CHECKING THE MASTER BINDER

Beginning next week, please make sure to check the Master Binder before class to update your attendance sheets. The front office will continue to make enrollment edits in the Master Binder throughout the session, so please remember to check this binder at the start of every shift. It is located under the rotations schedule on the main floor.

If someone shows up for your class and they are not on your list, kindly send them to the office to check on their enrollment with the front desk.

Please take note of "Trial" students on your list. These students are trying out the program to determine if they want to enroll in that class. Please remind them that they need to confirm their enrollment with the office by the end of the day.

You may need to remove some students and add others on your attendance lists. It is super important that we get your help with this as the office relies on you as part of the system for guaranteeing that folks are enrolled in the right spaces!

FOLLOWING ROTATIONS

Please refer to and follow the rotation schedule for your class! The rotations live on the bulletin board in the gym just outside of the office. Please let me know if you have any questions or concerns about the rotations. As a reminder, Youth classes will alternate between A & B rotations.

Lastly, please remember that reading and responding to emails is a requirement for all coaches at AcroSports! If you made it to the bottom of this email, please add 15 minutes to your timesheet and include the name of a city you want to visit in the notes section.

This week marks the start of a new session! With coaches and families alike having new schedules, this first week may be a little busier than usual. We need your help in making this week as smooth as possible! Please make sure that you review your schedule, show up early, and announce/meet your class in the Grand Stands.

That's a wrap for the Winter Session! Than you everyone for your hard work and dedication to the success of AcroSports's youth classes.

As a reminder, the Spring Session begins April 2nd. Refer to WhenIWork for your class schedule.

There are no youth classes this coming week (3/26-4/1). Enjoy your break!

Thank you all so much for a wonderful year and change working with you in the Youth Program! As I've said before, the most rewarding part of my job without a doubt has been getting to work with this talented, thoughtful, inspirational team, and I already know I will miss this experience in the coming months. I will be continuing to coach for the rest of the session, and in the meantime could not be more pleased to be leaving the Youth Program in Riana's capable hands. I am extremely confident that the program will only thrive and grow under her leadership, and look forward to seeing where the program goes moving forward! From this point on please direct your questions to her, and I am excited to rejoin you all as a coach on this team :o)

This is the last week of the Winter Session! Thank you so much for your hard work. AcroSports coaches are our greatest asset - you are the strength of this organization! Please note that there are special rotations for this final week, so take a look at the rotation schedule.

Lastly, I want to announce that I have officially taken on the responsibilities of the Youth Program Manager. I am excited to work with everyone in this new role! Hi team, 

Thanks to everyone for hosting a great cabaret, and especially to everyone who helped out, and to those Friday and Saturday coaches who accommodated modified rotation schedules so that we could make this performance a success!

Check-offs and Move-ups:
This week will be the FINAL WEEK of check-offs for the winter session. Make sure that all skill sheets are complete, and PLEASE EMAIL MIA WITH ALL MOVE-UPS (class, time, students' names) and give your students their skill sheets at the end of class.

Winter 2018 Move-Ups

AVAILABILITY: If you have not already, PLEASE SEND MIA YOUR AVAILABILITY FOR SPRING BY FRIDAY, 3/2! 
Spring session runs from 4/2 until 6/10

Check-offs and Move-ups:
Our final week of check-offs across programs will take place in two weeks, the week of 3/5. Please RESPOND with an estimate of how many students you expect to have move up from your classes in one level (ie: I will have three students moving up to Level 1--this would be from all of the classes you teach).

Coaches in Co-taught classes
Even if you are teaching with a co-coach, please please please shoot me an email to let me know if you will be absent! Others may be relying on you in ways you might not realize, and it helps me to know this if questions come up. Thank you!!!

General: 
Obstacle Course Take-Downs at 4:00PM
A reminder that if you teach at 4:00PM, you are required to arrive at AcroSports at 3:45 in order to begin taking down the obstacle course at 3:50. Thanks for pitching in with the team, and keeping our programming running smoothly! As always, this time can go in your timecard!

Each day you "activate" your Sub Pool status by responding to an emergency sub request on that day (within 24 hours) you will receive an extra gift card!
